SportsNow offers studios the possibility to work with waiting lists. As soon as a lesson is fully booked, your members automatically get the option to join the waiting list. By default, the waiting list works on a first-come, first-served basis. That means, as soon as a place becomes free, all waiting members will be informed immediately. Whoever books first will get the free place.
Good to know
- This function is activated automatically, so you don't have to activate anything yourself. If you want to offer a waiting list for individual appointments as well, this would have to be activated separately.
- Alternatively to the First-Come-First-Serve principle, you have the possibility to define that the members who are on the waiting list automatically move up. You can find more about this below.
- You can see in the SportsNow app in the «Home» which members have signed up to the waiting list. To see all registrations at a glance, activate the admin mode in the app. To do so, press «More» - «Switch to admin mode». In addition, you will be automatically informed about new waiting list registrations via push messages.
- A valid pass is not required to join the waiting list. Only as soon as a member wants to book the lesson, a pass must be purchased. If the automated waiting list is activated, a member without a valid pass will not be booked automatically, but will be notified of the free slot. Consequently, the member must buy a pass to be able to book the class. Automatic booking is only performed if a customer has a valid pass.

Add member to waiting list
On the web
- Click in the admin area on «My participant lists».
- Find the class you want and click on «View participant list».
- Click on «Add participants to the waiting list».
- You can now select the desired member and put him/her on the waiting list by clicking on «Add participant».

Waiting list for individual appointments
On the web
- Click in the admin area on «Set up my studio» - «Further settings» - «Booking settings».
- Place a check mark next to «Offer a waiting list for individual appointments.».
- Click on «Save settings».

Automated waiting list
On the web
- Click in the admin area on «Set up my studio» - «Further settings» - «Booking settings».
- Scroll down to the «Waiting List» section and check the box that says «Book customers with a valid pass automatically in order if a spot becomes available.».
- Click «Save settings».

Once you have activated the option, the members on the waiting list will first be checked to see who has a valid pass. Then the members will be booked automatically according to the order. If there are more places or no one could be booked, all members on the waiting list will receive a notification.
If the pass and billing system is disabled at your studio, the pass check will be skipped and the next member will be booked automatically.
